Corporate Travel FAQ — Lujain Travels Limited

Question 1

What is Lujain Travels Limited?

Accepted Answer

Lujain Travels Limited is a Nairobi-based corporate Travel Management Company (TMC) specialising in managed travel programs, MICE conference travel, executive travel management, and visa assistance for businesses across East Africa. We were incorporated in September 2026 and are led by a founder with eight years of hands-on corporate travel management experience. We serve corporations, NGOs, financial institutions, and government agencies in Kenya, Uganda, Tanzania, Rwanda, Ethiopia, and South Africa.

Question 2

Is Lujain Travels a general travel agency or a corporate TMC?

Accepted Answer

Lujain Travels is exclusively a corporate Travel Management Company (TMC) — we do not handle leisure or holiday travel. Our entire operation is built around the needs of businesses: travel policy management, preferred supplier agreements, duty-of-care compliance, consolidated billing, and the kind of 24/7 support that corporate travel demands. If you are looking for a holiday package, we are not the right fit. If you need a professional travel partner for your organisation's business travel, we are exactly what you need.

Question 3

Where is Lujain Travels based?

Accepted Answer

Lujain Travels Limited is based in Nairobi, Kenya. We serve businesses across the East African Community — Kenya, Uganda, Tanzania, Rwanda, and Ethiopia — as well as South Africa. Our team operates across East Africa Standard Time (EAT, UTC+3), and our 24/7 support covers Gulf Standard Time (GST) and GMT for clients travelling to the Middle East and Europe.

Question 4

What credentials and accreditations does Lujain Travels hold?

Accepted Answer

Lujain Travels Limited is a duly incorporated company under the laws of Kenya, registered with the Business Registration Service (BRS). We operate as an IATA partner agency, giving our clients access to the full global network of IATA-standard airline ticketing and services. Our Tourism Regulatory Authority (TRA) licence application is currently in progress. Our founder holds eight years of professional experience in corporate travel management, including five years as a corporate travel manager overseeing programs for East African organisations.

Question 5

What is a managed travel program and does my organisation need one?

Accepted Answer

A managed travel program is a fully outsourced corporate travel management arrangement where Lujain Travels acts as your organisation's dedicated Travel Management Company (TMC). Instead of individual employees booking their own travel ad hoc, all travel goes through a single managed process with a written travel policy, preferred supplier agreements, consolidated billing, and real-time reporting. Your organisation needs a managed travel program if you have more than 5 employees travelling regularly, if you are spending over KES 500,000 per month on travel, if you have no visibility over your total travel spend, or if your current booking process is inconsistent and time-consuming for staff.

Question 6

How much can a managed travel program save my organisation?

Accepted Answer

Most of our managed travel clients achieve 15–25% savings on total travel spend within the first year. Savings come from three sources: negotiated rates with preferred airlines and hotels (typically 10–20% below public rates), policy enforcement that eliminates unnecessary upgrades and last-minute bookings, and consolidated billing that removes duplicate charges and reconciliation errors. We provide a detailed monthly travel analytics report so you can track spend by department, destination, and traveller — giving you the data to make informed decisions about your travel program.

Question 7

Which types of organisations do you manage travel programs for?

Accepted Answer

We manage travel programs for corporations, NGOs, financial institutions, manufacturing companies, technology firms, and government agencies across East Africa. Our clients range from Kenyan SMEs with 10–50 employees travelling regularly to large regional organisations with 200+ annual travellers. We are particularly experienced with organisations that have complex multi-country travel needs across the East African Community, and with NGOs and development organisations that require strict policy compliance and detailed expense reporting for donor accountability.

Question 8

What does MICE travel management mean?

Accepted Answer

MICE stands for Meetings, Incentives, Conferences, and Exhibitions. MICE travel management means handling all the travel logistics for a group attending or hosting one of these events — delegate flight coordination, hotel room block negotiation, airport transfer scheduling, on-site travel support, and post-event reconciliation. It is significantly more complex than individual or team travel because it involves coordinating dozens or hundreds of travellers simultaneously, often across multiple departure cities, with tight event deadlines. Lujain Travels specialises in MICE travel for East African corporations and has managed delegations of 10 to 200+ delegates.

Question 9

Which MICE destinations does Lujain Travels cover?

Accepted Answer

We manage MICE travel to and from all major conference destinations relevant to East African businesses. Outbound MICE destinations we regularly cover include Dubai (DWTC, Expo City, ADNEC), Istanbul (Istanbul Congress Centre), Johannesburg (Sandton Convention Centre), London (ExCeL, ICC Birmingham), and Amsterdam (RAI Amsterdam). Within East Africa, we manage inbound and local MICE logistics for events in Nairobi (KICC, Radisson Blu, Tribe Hotel), Mombasa, Kigali (Kigali Convention Centre), and Dar es Salaam. We also cover major African business conferences including the Africa CEO Forum and regional trade exhibitions.

Question 10

What is the minimum group size for MICE travel management?

Accepted Answer

We work with MICE groups from 10 delegates upward. For groups of 10–30, we typically manage flight coordination, hotel booking, and airport transfers. For groups of 30–200+, we provide a full MICE service including hotel room block negotiation, on-site travel desk staffing, dedicated group check-in coordination, and real-time support throughout the event. There is no upper limit — our largest managed delegations have exceeded 200 delegates travelling to international conferences.

Question 11

Which business visas does Lujain Travels assist with?

Accepted Answer

We assist Kenyan and East African passport holders with business visa applications for the most common corporate travel destinations: UK Standard Visitor Visa (Business), UAE Visit Visa, Schengen Business Visa (for Germany, France, Netherlands, Switzerland, Belgium, and other Schengen states), US B1/B2 Business Visa, and EAC Single Tourist Visa for regional travel. We handle the full process — requirements checklist, document preparation guidance, application form completion, appointment booking, and submission tracking. For urgent travel, we offer emergency visa facilitation where the destination country's processing times allow.

Question 12

How long does UK business visa processing take for Kenyan applicants?

Accepted Answer

Standard UK Standard Visitor Visa processing for Kenyan applicants typically takes 3–8 weeks from the date of biometric appointment. Priority processing (where available) can reduce this to 5 business days. We strongly recommend beginning the UK visa process at least 6–8 weeks before the intended travel date. Our team prepares a complete documentation checklist tailored to your specific travel purpose — trade mission, conference, client meetings, or training — to maximise the likelihood of approval on first application.

Question 13

Can Lujain Travels handle visa applications for a group travelling together?

Accepted Answer

Yes — group visa coordination is one of our most frequently requested services. We manage the visa process for entire corporate teams and conference delegations, ensuring all applications are submitted simultaneously with consistent documentation. For groups of 5 or more, we assign a dedicated visa coordinator who manages the full process from document collection to submission and tracking. This is particularly important for MICE delegations where all delegates must have confirmed visas before travel can be confirmed.

Question 14

How do I get started with Lujain Travels?

Accepted Answer

The first step is a consultation call or meeting with our team. Contact us at info@lujaintravels.net or call +254 713 111 114 to arrange an initial briefing. We will ask about your organisation's travel volume, current booking process, key destinations, and any specific requirements. Based on that conversation, we will recommend the most appropriate service — whether that is a managed travel program, a one-off MICE engagement, or executive travel support — and prepare a tailored proposal within 48 hours.

Question 15

Is there a minimum contract length for managed travel programs?

Accepted Answer

Our managed travel programs typically run on a 12-month retainer, which allows us to negotiate the best preferred rates with airlines and hotels on your behalf. For organisations that want to trial the service before committing to a full year, we offer a 3-month pilot program. There is no minimum commitment for one-off services such as MICE travel management, executive travel, or visa assistance — these are priced per engagement.

Question 16

Does Lujain Travels work with small businesses or only large corporations?

Accepted Answer

We work with organisations of all sizes — from Kenyan SMEs with a handful of regular travellers to large regional corporations and NGOs with complex multi-country travel programs. Our managed travel programs are scalable: a small business with 5 employees travelling monthly gets the same quality of service and preferred rates as a large corporation, just at a lower volume. We believe every business deserves professional travel management, not just the largest ones.
